PO to Bill Wizard

The steps listed below pertain to creating Bills automatically from a PO.

Reviewing the Original PO

  1. Click the 'Projects' icon on the left menu.
  2. Select the Project in the 'Quick Select' section. This will then refresh the page and show the 'Current Project Home' page.
  3. On the 'Quick Links' tab, click the 'Procurement' link under the 'Accounting and Project Management Departments' section. This will refresh the page and show the 'Procurement Module Landing Page'.
  4. Navigate to the POs row in the Stats section.
  5. Click the record count link under Total Records.
  6. Use the Search field to filter the PO listing.
  7. Click on the PO # to view the details.
  8. Compare the PO's item unit prices and quantities with the vendor's invoice so no discrepancies occur. For partial deliveries, the Bill's item quantity may be less than the PO.
  9. Click the 'Create Bill from PO' option under the Actions button at the top.

Using the PO to Bill Wizard

  1. Select the appropriate vendor and PO. If the PO to Bill Wizard was initiated from the PO details form then this information will be automatically selected.
  2. Click 'Next' at the bottom.
  3. For each invoice item, review and update the Current Bill Qty and Unit Price.

    Note: The Current Bill Qty can be less than the PO Item Qty if there will be multiple shipments.

  4. Enter the Vendor's Invoice # and Invoice Date.
  5. Select the Terms. This will automatically populate the Payment Due Date.
  6. Optional: Update Payment Due Date.
  7. Check if the uploaded PO files should be linked to the Bill.
  8. Click the 'Finish' button.
