PO to Bill Wizard
The steps listed below pertain to creating Bills automatically from a PO.
Reviewing the Original PO
- Click the 'Projects' icon on the left menu.
- Select the Project in the 'Quick Select' section. This will then refresh the page and show the 'Current Project Home' page.
- On the 'Quick Links' tab, click the 'Procurement' link under the 'Accounting and Project Management Departments' section. This will refresh the page and show the 'Procurement Module Landing Page'.
- Navigate to the POs row in the Stats section.
- Click the record count link under Total Records.
- Use the Search field to filter the PO listing.
- Click on the PO # to view the details.
- Compare the PO's item unit prices and quantities with the vendor's invoice so no discrepancies occur. For partial deliveries, the Bill's item quantity may be less than the PO.
- Click the 'Create Bill from PO' option under the Actions button at the top.
Using the PO to Bill Wizard
- Select the appropriate vendor and PO. If the PO to Bill Wizard was initiated from the PO details form then this information will be automatically selected.
- Click 'Next' at the bottom.
- For each invoice item, review and update the Current Bill Qty and Unit Price.
Note: The Current Bill Qty can be less than the PO Item Qty if there will be multiple shipments. - Enter the Vendor's Invoice # and Invoice Date.
- Select the Terms. This will automatically populate the Payment Due Date.
- Optional: Update Payment Due Date.
- Check if the uploaded PO files should be linked to the Bill.
- Click the 'Finish' button.
