Equipment Job Costing Overview

Below are some general guidelines on equipment job costing.

Cost Codes

Although job cost codes typically reflect the type of work (ie sitework, concrete, masonry) and not resource (ie materials, labor, equipment, sub and other), a cost code for equipment rental and fuel may be needed if the equipment will be used for multiple scopes of work.

Example Cost Code:

Code Description Quantity Units
EqpRent Equipment Rental and Fuel 1 Ls

Rental Equipment

A PO should be created for the rental equipment and period. This PO would then be converted to a Bill using the PO to Bill Wizard. If no PO is issued to the rental company then a Bill would be entered upon receiving the supplier's invoice.

Example PO or Bill Line Items:

Item # Description Quantity Units Unit Rate Total Cost Code Resource
1 Backhoe 3 Weeks $1000.00 $3000.00 EqpRent E
2 Bobcat 1 Month $5000.00 $5000.00 EqpRent E

Entering Timecards for Rental Equipment

As mentioned above, cost for rental equipment will be entered using POs and Bills. However, if hours need to be tracked for this equipment then cost rates for run-time, idle-time and down-time need to be set to zero ($0.00). Otherwise, equipment costs would be doubled via Bills and Equipment Timecards.

For more details on Equipment Timecards, see section below.

Entering Timecards for Owned Equipment

Owned equipment would be created in the Equipment module which would typically include hourly rates for run-time, idle-time and down-time. Once established, equipment timecards can then be entered in Projects' Time and Expense or HR modules.

Fuel Costs

If a fuel truck will supply gas or diesel to the job site periodically, the supplier's invoice would be entered in Corecon's Bill feature.

Example Fuel Supplier Bill Line Items:

Item # Description Quantity Units Unit Rate Total Cost Code Resource
1 Backhoe - 50 Gallons of Fuel 50 Gal $3.00 $150.00 EqpRent E
2 Bobcat - 25 Gallons of Fuel 25 Gal $3.00 $75.00 EqpRent E
